Manage your organization

When you create an account on VideoAsk you become the owner of that account organization. You can join others' organizations (if you get an invite from them 😉 ) and you can invite team members to collaborate in your organization.

Name Your Organization

Your organization name will appear in invitations to team members.

Click the Account & Org settings icon to open your user menu.

Select Overview.

Click Update name.

Enter the desired name and click Submit.

Note: If you have associated a brand with your videoask, email notifications to respondents will appear as being from "[Team Member Name] - [Brand Name]". All other notifications will display the name of the person who replies.

Switch Organizations

You have two ways to switch which organization you are working in:

Option 1

Click the name of the organization you're currently in.

This will open a dropdown menu listing all the organizations you're a part of (including your own!). Click an organization's name to switch to its workspace.

Option 2

Click the Account & Org settings icon to open your user menu.

Here it will display which organization you are currently viewing. Below that, click Switch organization.

From the pop-up menu, select the desired organization:

Leave an Organization

If you have joined someone else's organization and no longer need access to their workspace, then you can remove yourself from their organization.

Switch to the organization you would like to leave.

Select Team.

Next to your name, click Leave.

Confirm you would like to leave by clicking Yes!

Notifications

You can manage the notifications you receive for every VideoAsk organization you are a part of.

While logged into the appropriate Organization, go to the Notifications tab.

Turn notifications on to receive email notifications every time your organization receives a new answer or reply. Or choose to only receive notifications when someone replies to a conversation you are a part of.

Transfer Organization Ownership

If you want to transfer ownership of your VideoAsk organization to somebody else (maybe you’re leaving your company or will no longer be managing VideoAsk within your team), you just need to change the email address associated with your account:

Here you will see your account credentials. Choose Update email to change the email address of your account.

For security reasons, before you can update your email address you will be prompted to re-enter your password.

⚠️ Important: You cannot be an account owner of more than one VideoAsk organization with the same email address.

This means that if the person you want to transfer ownership to already has a VideoAsk account, they will first need to change the email address associated with their account to an alternate email address following the steps above before you can transfer ownership of your organization to them.

For example: Ralph ([email protected]) is the current owner of the Acme Sales VideoAsk account. Ralph is moving to another department within the company and Renata will take over ownership of the team’s VideoAsk account. Renata is currently a team member in the Acme Sales VideoAsk organization (meaning she is also the owner of her own VideoAsk organization) with the email address [email protected].

Before Ralph can transfer ownership to Renata, by changing the account email address to [email protected], Renata must first change the email address of her account to a different email address.

She chooses to change it to her personal email address ([email protected]). Once her own account is no longer associated with [email protected], Ralph can go ahead and transfer ownership of the team account to this email address. 🎉

Update the Reply-to Email Address

When you or members of your team reply to a respondent on VideoAsk, your respondent receives an email notification letting them know that you’ve sent a reply to them.

Hopefully, your respondent will get back to you with a video message through VideoAsk, but there may be times when they reply directly by email instead.

In these cases, the default reply-to email address (the one that your respondents can reply back to directly by clicking reply in the email they receive) uses the individual team member's account email.

If you want to set one default reply-to email address for all members of your team, you can update the reply-to email to make sure all respondent emails end up in one email inbox.

In the Reply-to email box, select the email address of a team member from the dropdown list or click +Add an email to add an alternate email address.

Done! Now whenever a respondent chooses to reply via email to a notification they have received, the email will go to the address that you have selected.

To remove a default email you have set up (and revert the default reply-to email back to the individual team member’s account email), just choose -Remove default email from the dropdown menu.
